Modern Slavery and Human Trafficking Policy
Med Automation Ltd Date: 2nd June 2025 Financial Year Ending:
1. Introduction
This Modern Slavery and Human Trafficking Policy is made pursuant to the UK Modern Slavery Act 2015 and outlines the steps taken by Med Automation Ltd to prevent modern slavery and human trafficking within its operations and supply chains. Med Automation Ltd is committed to acting ethically and with integrity in all business dealings and relationships and to implementing and enforcing effective systems and controls to ensure modern slavery is not taking place anywhere in its business or in any of its supply chains.
2. Organisation Structure, Business, and Supply Chains
Med Automation Ltd is a UK-based technology company that designs, develops, and supports software and digital solutions for the healthcare sector, including automation tools for clinical workflows and patient data integration. The company operates primarily in the UK and EU markets and sources software components, IT infrastructure, and consultancy services from third-party vendors both domestically and internationally.
Our supply chain includes:
· Software development partners and subcontractors
· IT equipment providers
· Professional services providers (legal, finance, compliance)
· Cloud infrastructure and data hosting vendors
3. Policies on Slavery and Human Trafficking
Med Automation Ltd maintains a zero-tolerance policy towards slavery and human trafficking. Our Ethical Procurement Policy, Supplier Code of Conduct, and Employee Handbook all explicitly prohibit the use of forced, bonded, or involuntary labour. We expect the same high standards from our contractors, suppliers, and other business partners.
4. Due Diligence Processes
To identify and mitigate the risk of modern slavery, Med Automation Ltd undertakes the following due diligence activities:
· Risk-based assessments of new suppliers during onboarding
· Contractual clauses requiring suppliers to comply with the Modern Slavery Act 2015
· Annual supplier review processes to ensure ongoing compliance
· Monitoring of geographical and sector-specific risks associated with suppliers
We work only with suppliers who can demonstrate their compliance with ethical standards and may cease engagement if concerns are identified and not resolved.
5. Risk Assessment and Management
We recognise that certain sectors and regions are more vulnerable to modern slavery practices. Med Automation Ltd has assessed its supply chains and identified the following areas as higher risk:
· Offshore software development teams in non-OECD countries
· Suppliers of hardware components from regions with weak labour protections
To manage these risks, we:
· Perform enhanced due diligence in higher-risk geographies
· Request modern slavery statements or ethical compliance documentation from relevant suppliers
· Maintain clear records of supplier assessments and any remediation measures required
6. Measuring Effectiveness
We use the following indicators to assess the effectiveness of our efforts to prevent slavery and human trafficking:
· Percentage of key suppliers reviewed for ethical compliance each year
· Number of reported concerns or breaches related to slavery or trafficking (currently zero)
· Staff completion rate of training modules on modern slavery awareness
We will continue to develop performance metrics to support ongoing monitoring and improvement.
7. Training and Capacity Building
Med Automation Ltd provides modern slavery training to all employees as part of their induction and mandatory annual refresher training for relevant staff. The training covers:
· Understanding modern slavery and human trafficking
· How to recognise signs of exploitation
· Reporting procedures and whistleblowing protections
We also ensure that procurement and supplier management teams receive more detailed guidance on conducting due diligence and spotting risk factors.
8. Ongoing Commitment
Med Automation Ltd is committed to continuous improvement in our approach to tackling modern slavery. Where elements of our policy or supply chain management processes require enhancement, we will take corrective action and report progress in future statements.
